Make sure that there are decorations used to support the function. They are to be made prior to the occasion and placed in such a way that they do not affect the participants.

Finally, develop a program that encompasses all the activities. Time must be allocated to each function to ensure control and undertaking of each part set. Pass the program to all that are to be present and especially those with roles. This gives them a clue of when their contributions are required. Apart from communicating the program also pass the document with the regulations to govern the process during the competition.
